CALIBRE Systems Strengthens Contract Renewals with Streamlined Training Material Production

CHALLENGE

CALIBRE Systems delivers training to more than 1,000 students annually across roughly 30 locations throughout the continental United States. Producing course materials for 11 different courses, each with student guides running up to 500 pages, meant a heavy print operation that had to run smoothly across every location, every time.

Before consolidating with Mimeo, CALIBRE relied on other printers for select courses, and the costs added up quickly. The team was also rebuilding entire student guides from scratch for every course, even when only a lesson or two had changed. Materials weren’t organized to make reuse easy, and there was little visibility into what was driving costs, from paper weight and binding choices to materials that were printed but never actually used by students.

As a government contractor, CALIBRE also faces periodic contract recompetes, where demonstrating strong stewardship of customer funds carries real weight in whether a contract gets renewed.

HOW MIMEO HELPED

CALIBRE moved its training material production to Mimeo Print, using it to prepare and manage student course materials for delivery nationwide.

Mimeo's file structure changed how CALIBRE builds its course materials. Instead of recreating a student guide from the ground up for every session, the team can now swap out individual lessons that have changed and leave the rest of the guide intact. That shift, combined with closer attention to paper weight, binding choices, and which materials students actually use, gave CALIBRE a clearer view of where costs were coming from and how to manage them thoughtfully.

The team's shipping approach evolved too. CALIBRE now ships to the hotel of the course’s lead instructor, ensuring materials arrive before training starts. With roughly half of students now choosing digital materials over print, handing out course materials as students walk into the classroom has become simpler.

A typical course cycle starts with annual training delivery plans built for each customer, moving into enrollment around 60 days out. About three weeks before a course, CALIBRE confirms enrolled students and asks for their material preference, digital or printed. For students choosing print, materials can include a student guide, a glossary of department-specific and statutory terminology, name tents, student exercises, and even custom items like a replica dollar bill featuring the training program's founder, used in a recurring class exercise.
