The Regulatory Group Cuts Print Costs and Simplifies Course Material Updates with Mimeo Digital

CHALLENGE

Back when The Regulatory Group printed physical course books for its students, the team had specific requirements: pocket folders, custom tabs, and materials that needed to come together correctly every time. They worked with a local printer who delivered materials in person, until a Mimeo sales call and a free sample changed their approach.

Puja Sardana, Deputy Vice President at The Regulatory Group, said the switch made an immediate difference. “The convenience of the delivery options in Mimeo as far as print was really awesome and the prices were better.” Getting a more convenient service at a lower cost was a clear win for the team from the start.

HOW MIMEO HELPED

The Regulatory Group has since gone fully digital, using Mimeo Digital to distribute course materials to students registering for its regulatory training courses. The organization runs one to two-day courses several times per month for up to 70 students per session.

Whitney Maine, Administrative Coordinator at The Regulatory Group, manages much of that day-to-day workflow. "Our course books are reviewed before every session. We have the same courses but need to make sure the content is up to date. Because things are constantly changing in the government, we're able to very easily update that content with Mimeo." Whenever a course book or supporting material is revised, the update goes out digitally without the lead time hard copy used to require.

The distribution timing has changed just as much as the format. "It's also great that we can set up those distributions early. As soon as someone registers for one of our courses, we can say, here's your Mimeo link, and here's an introduction to the course," Maine said. Students can access their intro materials, set up their account, and get familiar with the platform well before their course materials are finalized, something Maine sees as a real customer service improvement over the old hard copy deadlines.

THE RESULT

Back when The Regulatory Group used physical materials, printing through Mimeo saved them money without sacrificing special features. Sardana compared a quote from the organization's former local printer, which didn't include a pocket cover, against Mimeo's pricing for the same 26 book job with a pocket cover included. Even with the added cover, Mimeo still came in 8 to 9% cheaper per order. At the volume The Regulatory Group was ordering at the time, roughly 40 to 50 orders a year, that difference added up quickly.

On the digital side, The Regulatory Group has avoided a cost most organizations don't think to calculate. Sardana noted that creating individual password protected PDF files and emailing them out to each student would have been a significant time drain, one the team has simply never had to deal with since moving straight to Mimeo Digital.

THE BOTTOM LINE

The Regulatory Group's move from print to digital happened without friction, and the numbers back up why. Lower costs, faster content updates, and materials that reach students the moment they register have made Mimeo Digital a natural fit for an organization where course content can't afford to fall behind. As Sardana put it, "We never looked at another company to compare to. We're happy where we're at."
